Role Summary
Supports operational activities in accounting, maintenance, vendor oversight, purchasing, occupancy services, and helpdesk while providing administrative support as needed.
Key Responsibilities:
Workplace Management
- Provide hospitality for guests and employees
- Resolve building services issues (janitorial, conference rooms, workstations, furnishings)
- Support the SFM with, and coordinate maintenance activities across EMEA within SLAs
- Manage CMMS tickets and convert external requests into trackable tickets
- Conduct inspections and ensure facility compliance with regulations
- Implement operational procedures and identify improvements
- Manage projects within client budget and identify cost-saving opportunities
- Coordinate special events and manage office supplies
Finance Management
- Support financial processes, tracking, and purchase order management
Health & Safety Management
- Conduct safety audits and maintain required records
- Ensure H&S responsibilities are understood and implemented
Vendor Management
- Monitor contractor performance and develop supplier relationships
- Assist with procurement as needed
Performance & Client Relations
- Develop strong client relationships and ensure satisfaction
- Complete required reports and meet established KPIs
- Identify innovations and best practices
- Maintain professional customer service approach at all levels
Requirements:
- An individual able to work full-time, onsite, based in clients Warsaw office.
- Excellent communication skills, with high proficiency in both Polish and English, and interpersonal skills
- Strong experience in facilities management or related field
- Proficiency in CMMS systems and Microsoft Office Suite
- Ability to multitask, prioritize and problem solve in a fast-paced environment
- Detail-oriented with excellent organizational abilities
- Knowledge of building systems and maintenance procedures
- Understanding of health and safety regulations
- Customer service orientation and problem-solving mindset
- Flexibility to work occasional overtime as needed
- Experience with vendor management preferred
- Ability to interact effectively with all levels of client staff
Nice to have:
- Degree in Facility Management, Business Administration, Engineering, or a related field preferred.
- IFMA certification or related qualification preferred, or relevant professional experience may be considered in lieu of formal education.
