What your day will consist of
- Coordinate staff meetings and prepare agenda.
- New Hire set-up and on-boarding procedures for new hires. (badge access, amenities)
- Set up appointments, conferences, and manage meeting rooms.
- Liaise with facility vendors including cleaning, catering and security services. Supervise office staff, including addressing complaints and resolving problems.
- Quote requests, purchase orders creation, and invoice management
- Point person for building maintenance
- Support any hand-on requests for Free Trade Zone regime/compliance (tracking equipment serial, asset #s that are part of the regime for finance and accounting purposes)
- Plan and coordinate in-house or off-site activities such as parties, celebrations and meetings.
- Provide support to office visitors including scheduling, transportation, conference room and technology set-up, and meals.
- Maintain office equipment and work with IT to address any major issues.
- Schedule and arrange for staff travel as needed
- Expense report assistance/preparation
- Stock and maintain kitchen and office supplies
- Maintain a safe and secure working environment
- Support maintenance program for space planning, seating management, and other assets
- Handle other duties as assigned.
What is Needed
- 5-7 years relevant work experience.
- High school diploma
- Fully proficient in English and Polish.
- Proficient internet navigation, and demonstrated ability to learn new applications
- Expense reporting
- Strong calendar management skills
- Excellent time management and organizational skills
- Possess excellent customer service skills and high level of integrity and dependability
- Client service-oriented team player able to work in a fast paced, energetic environment
- Strategic thinking and active listening skills
- Strong analytical, project management and program development skills
- Excellent written and oral communication skills with strong interpersonal skills
- Ability to remain poised in difficult situations
- Ability to work independently with multiple projects and priorities simultaneously

- Availability to work from the office
