The Opportunity

The Office Coordinator will play a strategic role in managing our front-desk admin responsibilities for our Warsaw location. The position is a part of a International Facility Operations division and reports directly to the Area IFO Manager based in Poland.

What You'll do:

  • External and internal customer service
  • Greet vendors, customers, job applicants and other visitors and arrange for transportation services when needed
  • Answering phone calls/operate a switchboard to route incoming calls and place outgoing calls
  • Mail segregation and distribution, handle incoming and outgoing mail
  • Copy, file and maintain paper or electronic documents and records
  • Direct visitors by maintaining employee and department directories
  • Courier shipments and reports, manifests and waybills administration
  • Handle office supplies, cafeteria
  • Repairs in the office, technical problems – reporting & mending monitoring
  • Create and manage both digital and hardcopy filing systems for all partners
  • Document archiving – cooperation with vendor
  • Office access badges for employees/building badges ordering and administration
  • Maintain security by following procedures, monitoring logbook and issuing visitor badges
  • Deal with bookings by phone, e-mail, letter, fax or face-to-face
  • Intranet website administration
  • Notifying letters registration under MedTech procedures
  • Scanning and introducing invoices into the internal system
  • Contracts archiving
  • Operational EARs for Poland and the Netherlands

Required qualifications and background:

  • Strong customer service and problem solving skills
  • Accuracy and attention to detail
  • Strong organizational skills with ability to prioritize tasks
  • Computer literacy with knowledge of MS Office tools
  • Good command of English
  • Overachieving attitude
  • Ability to adapt to fast-changing environment
  • Strong interpersonal and communication skills
  • Friendly, supportive approach with strong customer focus
  • Ability to meet deadlines and work under pressure
  • Prior experience in supply management would be a strong asset
