About the role
We are seeking a highly organized and proactive Personal Assistant to provide top-tier administrative support to an executive leader and member of the BA EA Leadership Team. The ideal candidate will excel in managing complex calendars, coordinating international travel, and handling confidential information with the utmost discretion.

In this role, you will manage internal collaboration with stakeholders at all levels, bringing a digital outside-in perspective to continuously enhance our work processes. You will work closely with other executive assistants across our business, ensuring seamless information flow while maintaining the highest standards of discretion and confidentiality.

This is a part-time position of 25 hours per week (5 hours per day).
You will report to the Head of HR, People Communications & CI
In detail you will be responsible for:
Calendar Management: Efficiently manage and coordinate the leaders’ calendars and schedules, ensuring optimal time management.
Travel Booking: Arrange international travel, including flights, accommodations, and itineraries.
Expense Reports: Prepare and submit expense reports in a timely manner.
SAP Invoices & Orders: Process invoices and orders using SAP.
Meeting Coordination: Organize and coordinate meetings and events, including logistics and catering.
Teams Site Maintenance: Maintain and update People Comms CI leadership team’s site on Microsoft Teams.
Meeting’s agendas: Support in setting the agendas for monthly LT meetings
Minute Taking: Record minutes/ action points during leadership team meetings (if required)
Qualifications & Requirements:
Proven experience as an office manager/ assistant or in other roles requiring coordination and confidentiality
Excellent organizational and time management skills
Strong communication and interpersonal abilities
Proficiency in Microsoft Office Suite
Ability to work independently and handle multiple tasks simultaneously
High level of discretion and confidentiality
Ability to quickly adapt to new situations, effectively manage crisis and think out of the box to support your leaders
Eagerness to develop high-trust relationships that enables strong collaboration and teamwork
Fluent in English, other European languages are a benefit
