Job Title: Front Office Assistant
Location: Warsaw – on-site – Al. Jerozolimskie 142B
About this opportunity: As Front Office Assistant you will play a key role in ensuring the smooth day-to-day operations of our office. Your responsibilities will span front office reception duties and administrative support, helping to create a welcoming and efficient workplace environment.
Please note: This is a 6-month fixed-term on-site contract, requiring your presence in the office 5 days a week and a minimum of 35 hours per week.
What you will be doing:
Front Office – Reception Responsibilities:
Greet and assist visitors in a professional and friendly manner.
Manage incoming and outgoing correspondence and parcels.
Oversee the distribution and tracking of office entry cards.
Answer and direct incoming phone calls.
Monitor office premises and coordinate with building management as needed.
Administrative Support for the ADC PL Office:
Maintain office supplies and refreshments, including fruit and beverages.
Coordinate conference room bookings and provide meeting support (e.g., setting up, clearing tables, and ensuring availability of beverages and snacks).
Ensure cleanliness and order in all conference rooms and encourage adherence to office tidiness standards.
Report office maintenance issues and technical problems to West Station II administration team.
Provide ad hoc administrative support based on the needs of the administration team.
What you need for success:
Good organizational skills and attention to detail
Availability min. 35h/week to work on-site
Friendly and professional communication style
Fully communicative English
Proactive attitude and willingness to help
Ability to prioritize and multitask
Working knowledge of MS Office tools (especially Outlook and Excel)
