Key role responsibilities:
Administrative Support
- Arranging complex and detailed travel plans and itineraries, and compiling documents for travel-related meetings, as well as booking of hotels, taxis for employees;
- Assist with organization of events and global meetings
- Logistics to include but not limited to: geographic location selection, venue selection and contract negotiation, attendance registration management, guest accommodations, food & beverage selection, meeting space requirements, entertainment/team building & dinner activities, transportation, meeting agenda management, and review of related invoices
- Monitoring of the shipment of goods;
- Archiving of Polish sales invoices and order confirmations.
- May be required to perform additional duties as assigned
- Managing office-related needs, such as posting and distributing daily mail, setting up for on-site meetings, daily office maintenance
- Greet visitors and customers as they enter, as well as answer the general phone line for the location
- Preparation of the monthly report of additional benefits for the HR department;
- Reporting new employees to additional benefits:
- Answering incoming calls;
- Receiving of incoming correspondence, parcels;
- Sending of correspondence (documents, invoices,) parcels;
- Scanning and recording of documents, Polish sales invoices, Polish purchase invoices:
- Coordinate repairs at the office.
- Supplying the office with office supplies, groceries, cleaning products;
- Providing support for the Customer Service and Supply Departments
- Entering and processing customer orders
- Assisting with order management and internal coordination

Knowledge, skills, abilities:
- English - mandatory
- German knowledge would be an advantage
- University degree
- Knowledge of MS Office
- Knowledge of event and travel planning
- Skilled in high attention to detail and accuracy
- Skilled in managing multiple tasks/projects along with the ability to work in a fast-paced team environment in a self-directed manner
- Skilled at tracking and prioritizing projects, documenting projects via an established report
- Ability to demonstrate attitudes and behaviors that make a positive difference. Adheres to the highest level of professionalism by demonstrating honesty, integrity and maturity.
- Ability to utilize strong written and verbal communication skills, with the ability to interface with people at all levels within the organization and outside the organization
- Ability to plan, organize, and prioritize time/workload in order to accomplish tasks and meet deadlines in a self-directed manner
- Ability to maintain accurate data, notes, and records to ensure constant efficiency in work
- Ability to work energetically and tenaciously with minimal supervision
