We are seeking a highly organized and proactive Office Transition & Project Coordinator to lead and support our office relocation, reorganization, and infrastructure project. The new office is currently under construction, with completion scheduled for late 2026 or early 2027.
Responsibilities:
- To plan and execute office transition, including relocations, space optimization and refurbishments;
- Act as a point of contact for facility management related topics for internal and external stakeholders;
- Support and coordinate procurement and logistics processes related to office equipment, furniture, and supplies;
- Coordinate topics related to detailed project plans, schedules, budgets follow-up and transfer to the new office building;
- Monitor project progress and proactively address risks or delays;
- Preparing summaries and reports and providing regular updates to high-level management (VP level);
- Ensure compliance with health, safety, and security standards during transitions in cooperation with external HSE provider and tenant;
- Manage communication plans to keep employees informed and engaged throughout the process;
- Assist in change management initiatives related to workplace transformation;
Requirements:
- Bachelor’s degree in Business Administration, Project Management, or related field preferred;
- 5+ proven experience in project coordination, office management, or new office facilities planning;
- Experience in communicating with high-level stakeholders;
- Strong organizational and multitasking skills;
- Excellent communication and stakeholder management abilities;
- Project management mindset and knowledge;
- Ability to work independently and collaboratively in a fast-paced environment;
- Knowledge of workplace safety and polish compliance regulations will be a plus;
- Ability to work with incomplete, changing data throughout all the project phases;
