We have two roles available; Series Team Assistant and Film Team Assistant, both based in Warsaw, Poland. Each position will focus on supporting the Leads and provide additional assistance to teams at key moments or cover leave for other Assistants in the department.
The successful candidates will be self-motivated, proactive, quick-thinking, flexible, and able to juggle multiple and diverse responsibilities. They will need to place a strong emphasis on organization and unwavering attention to detail at all times and be interested in and enjoy planning team activities and events. This is a demanding and fast-moving position that requires someone who can exercise good judgment and significant initiative.

Key responsibilities include, but are not limited to:
Maintain the Calendar for the Director and as per the Team’s needs, including booking and confirming large cross-functional meetings (internally and externally) across multiple time zones.
Scheduling meetings, booking rooms and greeting guests and making sure they attend the right meeting
Manage the flow of incoming and outgoing material, including inputting project details into internal systems and agendas.
Support the team with updating files, production and post-production schedules as per series and film leads’ needs.
Coordinate travel arrangements, both domestically and internationally for Series and Film Leads.
Processing travel and expense reports for Series and Film Leads
Prepare agendas, slides and presentations for meetings and take meeting notes.
Support the team across different logistic and organizational challenges when needed.
Work collaboratively with administrative assistants across Leadership, Content, Production, Public Policy, Marketing, and other internal partners.
Skills and experience:
2+ years previous experience as an Executive Assistant or Team Assistant supporting multiple Executives
Fluency in both Polish and English
Proven verbal and written communication skills; must be articulate and professional both in written and verbal forms, including the ability to cultivate internal and external relationships.
Tech-savvy with proficiency in Google Suite apps, and a high degree of comfort in learning and working with online tools and applications.
Ability to work proactively, independently, and reliably under tight timeframes in a fast-paced environment
Excellent attention to detail.
A passion for working in multicultural environments.
A knowledge and passion for film and series
Comfortable dealing with confidential or sensitive information.
Understanding of how to prioritise and respond accordingly.
Ability to work flexibly and seamlessly move between different teams to provide support.
Experience working within the entertainment industry is additive but not a requirement.
