Position description overview:
The People Operations function within the People & Culture organization is a relatively new addition to the Epassi Group. In close collaboration with other parts of the People & Culture team, and reporting to the Head of People Operations, the People Technology Lead will:
Support and continuously improve the adoption and usage of existing HR and downstream systems from a best-practice perspective.
Lead the exploration of new tools and approaches to ensure system-based compliance, operational efficiency, and engaging employee experiences.
Key responsibilities:
People Technology (HRIS):
Support and guide People Operations team members, local People & Culture Business Partners, and other specialist P&C functions (Talent Acquisition, Talent Development, Internal Communications) in implementing best-practice system-based processes across the entire employee lifecycle.
Provide input to and develop the People Technology (HRIS) roadmap at Epassi.
Exhibit subject matter expertise in managing and developing usage of our multi-country, multi-module HRIS tool (HiBob), including workflows, automated task lists, and approval paths.
Support people technology initiatives during the integration of newly acquired companies into the Epassi Group.
Prepare, configure, and execute compensation and benefits processes (Annual Salary Review, bi-annual incentive scheme payouts, job architecture maintenance, EU Pay Transparency Directive compliance).
People Reporting & Analytics:
Co-define and facilitate an aligned HR information management strategy using current tools and data sets, with a focus on innovation and continuous improvement, including:
Ad-hoc People Data Reports
Metrics, KPIs, dashboards, and other tools tailored to stakeholder needs
Experience in BI tools such as Qlik, Tableau, etc., beyond the native reporting capabilities of a standard HRIS, is a strong plus.
Payroll Operations / Shared Services:
Strong understanding of payroll processes in the context of HR master data and integration with global HR systems of record.
Demonstrated experience implementing and working in an HR shared services model is a key differentiator.
Support and improve processes according to a defined service delivery and management philosophy using:
Case management tools (e.g., Jira, ServiceNow)
Knowledge management platforms (e.g., Confluence, SharePoint)
AI support tools
Coordinate HR, payroll, and expense management to harmonize and standardize practices across the Epassi Group.
Experience with global or European payroll platforms/vendors is highly beneficial.
Other position requirements:
University degree in HR or a related subject
5–10 years of proven experience implementing and/or managing global people technology systems or ecosystems
Existing and valid permit to work in the EU
Excellent communication skills, able to engage a diverse audience including senior stakeholders
Full-time availability and willingness to travel
Advanced skills in MS Excel, including the use of lookups, pivot tables, and other advanced functions
Team- and solution-oriented mindset with analytical thinking and a proactive attitude
Organized, flexible, and adaptable, especially in fast-paced and ambiguous environments
Strong attention to detail when needed
Very high proficiency in spoken and written business English is required
Fluency in at least one other European language, ideally German, is a strong asset
