We are seeking a dedicated and proactive Administrative Assistant to join our Wroclaw Administrative Team, adding value to our operations with exceptional organizational skills and a customer-focused approach.
Responsibilities
- Coordinate front-desk and reception activities, ensuring smooth daily operations
- Manage admin invoices and maintain accurate records
- Support onboarding and offboarding processes with structured workflows
- Maintain and track the support system and ticketing activities
- Oversee Physical Security compliance and related processes
- Assist with document workflow, including postage and shipping tasks
- Collaborate with Events and Marketing departments to organize events
- Provide support during client visits, ensuring all arrangements are managed
- Facilitate office repairs and maintenance by liaising with facility teams
- Distribute and manage the allocation of taxi vouchers
- Ensure timely ordering and stock management of office supplies
- Supervise scheduling for conference room bookings
- Oversee cleaning and security services to maintain office standards
- Act as a point of contact with landlords and vendors for daily operations
Requirements
- Minimum of 2 years’ experience in administrative or office management roles
- B1 or higher level of English to facilitate communication and documentation
- Knowledge of office tools such as ticketing systems, invoicing platforms, or scheduling software
- Skills in communication, organization, and problem-solving
- Ability to work independently while maintaining attention to detail
- Background in coordinating logistics for office facilities, events, or meeting setups
- Familiarity with compliance regulations related to physical security measures
