About Project HOPE

We are seeking a Supply Chain Assistant to provide sound procurement and logistics support for Project HOPE Poland’s programs and operations. This role will ensure smooth, safe, and efficient functioning of the office and supply chain activities in line with the Procurement Handbook, Logistics Manual, and donor guidelines.
Key Responsibilities
Administration
- Support senior management and staff in logistical and administrative tasks.
- Coordinate office supplies and ensure replenishment of consumables.
- Archive documentation (soft and hard copies) according to procedures.
- Assist international staff with lodging, local transportation, and accommodation in Poland.
- Communicate with external vendors, partners, and authorities as needed.
Procurement
- Assist in preparing RFQs and tender documentation.
- Execute procurement and tender processes within timelines, budgets, and guidelines.
- Build and maintain supplier databases (local and regional).
- Conduct market research to identify reliable suppliers and value-for-money solutions.
- Track procured goods and services through an efficient monitoring system.
Assets & Inventory
- Lead and coordinate the asset inventory process.
- Ensure all assets and GPE (General Program Equipment) are received, registered, tagged, and updated in line with procedures.
- Conduct monthly, bi-annual, and annual inventory checks.
- Coordinate with HR and IT to issue and retrieve assets for staff.
Transportation & Fleet Management
- Support the Supply Chain Officer in ensuring a functional fleet system.
- Book and coordinate staff travel (flights, trains, buses, and border travel to/from Ukraine).
- Support development and compliance with SOPs for drivers.
- Provide flexibility in supporting drivers/translators during meetings when necessary.
- Support logistics of GIK (Gifts-in-Kind) donations and humanitarian transport.
What We’re Looking For
- Bachelor’s degree in logistics, business, engineering, IT, or a related field.
- 5+ years of experience in supply chain, procurement, or logistics.
- Strong skills in procurement procedures, vendor management, and administration.
- Excellent organizational, communication, and negotiation skills.
- Proficiency in MS Office (Teams, Word, Excel).
- Fluency in Polish and English (spoken and written).
- Valid driving license.
Nice to Have:
- Experience with ERP systems.
- Previous work with NGOs/INGOs.
