Job Description
We are looking for an Operations Support Specialist to join our Tech Office Team at InPost Technology. You will be a key person supporting the smooth and efficient management of our contractors. Your main task will be to ensure the proper flow of documentation, timely renewal of contracts, and support in recruitment processes. You will work closely with both Tech Office and Recruitment Teams, providing them with the necessary administrative and organizational support.
Contractor Database Management:
- Maintain and update the contractor database, ensuring accuracy of contact details, contract terms, rates, and other relevant information.
- Implement changes to the database reflecting current agreements and contractual status.
Contract Management & Renewals:
- Monitor orders expiration dates and proactively manage the contract renewal process.
- Coordinate with legal and finance departments to ensure compliance and adherence to company policies.
- Oversee the order extension process from initiation to execution.
Agency Liaison:
- Initiate contractor requests by sending requirements to agencies.
- Serve as a point of contact for staffing agencies and recruitment partners.
- Proactively building and maintaining strong relationships with key agency representatives.
Contract Termination Support:
- Assist in the contract termination process, ensuring compliance with company policies and legal requirements.
Reporting & Analysis:
- Generate regular reports on contract status, costs, and other key metrics.
- Analyze data to identify areas for improvement and optimization.
Cross-Functional Collaboration:
- Partner with HR, finance, legal, and other departments to ensure seamless processes.
- Provide general administrative support to the team as needed.
Qualifications
- Experience in operations support or administrative roles
- Strong relationship management skills with a proven ability to proactively engage and maintain effective partnerships with key stakeholders
- Strong organizational and time management skills
- Excellent communication and interpersonal abilities
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Problem-solving mindset and ability to work independently
- Fluent in English
Nice to have:
- Experience in IT contract management
- Polish language skills
- Location - Cracow, as occasional office visits might be required
- Background in the technology/IT industry
- Degree in Business Administration, Operations Management, or related field
