We are looking for Office Administration Specialist to join our team in Warsaw, Poland!
The role involves ensuring smooth office operations, including front-desk support, managing communications, organizing meetings, events, travel, and overseeing office supplies and facilities. It also includes liaising with vendors, managing the car fleet, parking, and assisting with insurance matters.
What kind of work will you be doing?
- Welcome guests and visitors, answer phone calls, handle incoming and outgoing mail.
- Keep shared areas and meeting rooms organized and stocked with supplies.
- Organize meetings, conference calls, and company events (including catering and logistics).
- Manage office supplies and equipment purchases.
- Coordinate work of external vendors (cleaning, plant care, maintenance).
- Communicate with building management and service providers.
- Support with travel arrangements (tickets, accommodation).
- Manage company car fleet, fuel cards, parking apps, and parking space allocations.
- Archive contracts and manage document registration.
- Handle company insurance matters in collaboration with Finance and Risk teams.
- Act as point of contact for employee questions and provide day-to-day office support.
What will make you successful?
- Proficiency in English and Polish (written and spoken)
- Previous administrative support experience is an advantage, but not required
- Excellent written and verbal communication skills
- Positive attitude, adaptability, and strong decision-making capabilities
- Ability to prioritize tasks and handle multiple assignments efficiently
- Capacity to work independently
- Proficiency in MS Office applications
