In HR Ops. Advisor role, you will join a fast-paced Human Resources team, serving employees, managers and HR colleagues in the Polish entities (Gdańsk 60%, Ropczyce 40%). We are looking for a team player, who enjoys helping employees find answers to their HR related questions and has a strong interest in improving HR delivery. A successful person will be very detail oriented, possess a problem-solving mindset and a keen interest to improve existing processes.
Role Description
HR Operations & Administration (Core Focus):
Manage employee lifecycle processes: onboarding, contract management, offboarding and document handling.
Administer time & attendance data, including absence tracking, working time adjustments, and time attendance reports for payroll closure.
Handle Company Social Benefits Fund activities, including loans, subsidies and related reporting.
Process payroll inputs, verify data accuracy, and support monthly payroll cycles in close coordination with Finance and Payroll.
Employee Support:
Serve as the first point of contact for employee inquiries on policies, benefits, payroll and HR systems.
Provide guidance to managers on HR procedures, contract renewals, and changes in employment terms.
Reporting & Data Management:
Prepare and submit statutory reports (e.g., Z-05, Z-06, Z-12) and support external audits/inspections.
Prepare monthly, quarterly, and ad-hoc HR/GUS'S reports/statements for internal stakeholders, Finance, and external authorities.
Maintain accurate HR data in Workday/DayForce and ensure compliance with local regulations.
Additional tasks:
Support the Merit process, medical examinations management, and benefits administration.
Collaborate with temporary staffing agencies on contract management, time tracking, and invoicing.
Key Skills & Experience:
Min. 2-3 years of HR operational experience, ideally in a fast-paced, international environment.
Experience with HR systems (e.g., Workday & ServiceNow).In-depth knowledge of Polish labor law and HR practices.
Excellent communication skills in Polish and English, great time management, multi-tasking, and prioritization skills.
Proactive, detail-oriented, and comfortable handling a high volume of cases.
Strong customer service orientation while maintaining a high level of integrity and confidentially.
Ability to assist others in understanding new processes and influence them to try new ways of working.
