Purpose of Role:
Whilst reporting to the HR Operations Manager, this GHR Shared Services role focuses on practical activities within the core responsibilities of the HR and Payroll Operations team, in particular ensuring compliance with statutory requirements regarding the processing of employee data and supporting administrative activities, documentation management and employee support.
Major Responsibilities
Responsibility for administration of employee personnel files and database (ensure that documentation is processed correctly and in a timely manner as required by Polish Labor Law and internal procedures);
Managing general office duties including collecting of documents delivered by daily post, photocopying, packing, data entry and mailing documents;
Managing employee queries related to HR administration processes;
Timely updating HR database, both in offline Excel files and within dedicated HR systems (Enova, MyWorkday, Exchange, etc.);
Preparation and distribution of standard and ad hoc HR reports within specified guidelines;
Ensuring effective and timely flow of critical information to all relevant parties/vendors/third parties and follows up on administrative details;
Executing HR administration activity to support other departments and divisions;
Ensuring confidentiality while handing HR matters and complying on maintaining data privacy in line with global and local requirements across GHR Shared Services.
What we value
To be successful in this role, your profile should include:
Fluency in written and oral in Polish and very good level of English.
2 or more years’ experience in Polish HR administration position with a strong understanding of best practices around time and attendance rules in Poland.
Willingness to work in hybrid system, with predominance of work from the office in Gdansk.
Knowledge of Polish specific HR operations, e.g. parental leaves, holiday management, terminations, employee's lifecycle documents handling, work permits, HR systems.
Good knowledge of Polish Labor Code.
Good MS Excel skills (practical usage of various functions i.e. pivot tables, v-look up);
Team player with a strong customer focus.
Focus on details, attentiveness, accuracy.
Ability to deliver high quality work and to work under pressure with attention to details.
Ability to interact with all levels of employees and management and handle confidential information in a professional manner.
Flexible “can do” attitude.
HR related education will be an asset.
