For our expanding Warsaw-based CMG (Capital Markets Group) business line we are looking for you as Capital Markets Senior Administration Analyst.
You will be part of a collaborative international support team that enables the success of JLL’s Capital Markets business across Germany.
Job Overview:
First Point of Contact for questions from Expense HUB in Manila (Weekly check ins, trainings, first escalation level, bridge between Expense HUB and German brokers)
Support CRM (Salesforce/Capforce) data entry and maintenance throughout project lifecycles, Maintenance of project opportunities and transaction data, control of reports/dashboards (e.g. WiH, synchronization etc.)
Provide administrative support: managing calendars, coordinating and booking travel
Maintain team communication: organize meetings, prepare agendas, take meeting minutes
Process billing requests promptly and ensure correct allocation of incoming and outgoing invoices
Help maintain project documentation and contact databases across various deal stages
Manage internal and external communications: handle emails, phone calls, and inquiries
Coordinate onboarding processes for new Capital Markets colleagues (e.g. starter checklist, systems access)
Assist with event and meeting coordination (e.g. internal trainings, roadshows, team offsites)
Support quality management workflows as part of internal operational processes
Collaborate with multiple Capital Markets teams across Germany and contribute to cross-team communication and workflow support
Assist in project coordination: create schedules, monitor progress, ensure deadlines are met
Requirements:
Very good German and English (C1)
Experience in administrative roles, preferably in fast-paced environments
Excellent organizational and time management skills
Attention to detail and commitment to high-quality work
Proficiency with Microsoft Office Suite and other software
Strong interpersonal and communication skills
Ability to work independently and in teams with a proactive attitude
Knowledge of the commercial real estate industry is a plus
