Role Overview
We are looking for a well organized and proactive Executive Assistant Senior Associate to deliver exceptional support to our senior stakeholders. The role requires efficient execution of assigned tasks and driving service excellence, as well as effective cooperation with a rapidly growing team.

Responsibilities:- Ensure high level support of our employees with day-to-day EA queries;
- Cooperation with dedicated stakeholders mainly at the Director's or Vice President’s position;
- Calendar management, preparing and answering to meeting invitations;
- Cooperation with other teams, working with stakeholder’s team about agenda;
- Booking meeting rooms in the offices;
- Support on slide preparation;
- Settlement of invoices in Concur;
- Booking hotels/flights/trains/cars/taxi in Egencia;
- Planning visits and advise the best possible options;
- Organizing VISA for travels and check-in before flights;
- Cooperate with a dedicated coach if needed and mentoring with an experienced EA;
- Direct daily contact with stakeholder and other executive assistants;
- Document management: update of documents & preparing and organizing corporate cards;
- Identify service delivery and process improvement opportunities in the assigned process;
- Reporting (ad-hoc & regular ones);
- Knowledge sharing with others team members;
- Preparation and updating of procedures;
- Delivering KPIs on time and carrying out tasks in accordance with the SLAs.
- 1-3 years of previous professional experience in HR Operations (or 1 year in Personal/Executive Assistance environment is preferred) and/or related education;
- Fluent English;
- Demonstrated ability to use initiative, work proactively and adapt quickly to a constantly changing environment;
- Office package knowledge (Excel, Power Point, Outlook);
- Technical/functional skills & knowledge of HR tools (e.g. Egencia, Concur, would be beneficial);
- Reliability, autonomy, strong communication skills;
- “Can do” attitude and a willingness for undertaking significant challenges;
- Ability to multi-task and consistently work against the right priorities;
- Capacity to process tasks without supervision.
